Institutional Data Collection and Processing

What is this service?

Would you like access to sensitive University of Central Oklahoma data, such as FERPA, HIPAA, and PII?

At UCO, you can access institutional data in various ways depending on the type of data, your access level, and preferred output method. By default, all UCO faculty and staff have access to several pre-developed dashboards.

  • The Broncho Analytics Dashboard 
    This dashboard provides information from the Office of Institutional Effectiveness on degrees, enrollment, demographics, institutional assessment, and more. For any questions or assistance, please contact the Office of Institutional Effectiveness.

  • The Faculty/Staff Workspace 
    This workspace now includes the Course Catalog and Course Schedule Power BI reports. If you need assistance or have any questions, please submit a service desk ticket to the Business Intelligence Reporting and Data Solutions (BIRDS) team.

Beyond these already available reports, the Business Intelligence Reporting and Data Solutions (BIRDS) team is available to assist with access to non-public data and customized report creation. Follow the instructions below to get started!

What are the benefits?

What is covered?

This service covers a wide range of institutional data, including:

  • Enrollment & Student data: student demographics, graduation rates, retention rates, lists of graduating students.

  • Academic data: course catalog, course schedule, faculty data.

  • Financial data: budgets, expenditures, funding sources.

  • Operational data: human resources, facilities, IT.

  • Publicly available data: data accessible to the public through dashboards and reports.

What is not covered?

  • Personally identifiable information (PII) without proper access request and training.

  • Data protected by FERPA or HIPAA without permission from authorized individuals.

How to request the service:

For access to public data that is not covered on the Broncho Analytics Dashboard or the Faculty/Staff Workspace, submit the access request form.

For access to non-public data including FERPA, HIPAA, or PII:

  1. Complete the Employee Security Access Form to gain access to the appropriate data.
    **Be specific in the ESAF about what type of access you are requesting including the specific report names you want access to or if you are asking for access to specific data to create your own report.

  2. Once access has been granted, you can begin creating your own reports as allowed, or you can request a customized report creation engagement with the BIRDS team.

COMING SOON – The Insights Data Warehouse! 

The Insights Data Warehouse will be available for use by UCO citizen analysts to create reports and to faculty/staff to view reports. Before receiving access, users will be required to attend Data Literacy Training and Insights Training.

What happens next?

  • UCO will review your request and provide access upon approval. The process may involve additional steps for customized reports or training for the Insights Data Warehouse.

  • You will notified of approval or denial to requested resources/data.

Service Level Agreement:

  • We strive to respond to data access requests within 5 business days.

  • For customized reports, the delivery timeframe will depend on the complexity of the request.

  • We aim for 99% uptime for the Broncho Analytics Dashboard and Power BI reports.
