Service Overview
Photographic Services provides professional photography to support the University of Central Oklahoma’s mission, brand, and strategic communication goals. Our team captures high-quality imagery for marketing, storytelling, and historical documentation. Services include event photography, faculty and staff headshots, portraits, and campus life imagery used across UCO’s websites, social media platforms, publications, and recruitment materials.
Key Details
You may request new photo services or access to existing photo services work.
New Photo Requests
Requests must be submitted at least two weeks in advance, though earlier submission is strongly encouraged to ensure availability.
While some urgent requests may be accommodated, please note that events requiring photography are typically scheduled well in advance. Requests submitted with short notice may be declined based on scope and staffing.
Photographic Services does not provide unedited images. All delivered photos are edited to meet UCO’s professional quality and brand standards.
When submitting a request, include the event name, date, time, location, and how the images will be used.
Photography assignments are prioritized based on their alignment with university-wide strategic communication goals.
Level 1 Assignments are top priority and include:
- Presidential events
- University Communications projects
- Admissions and recruitment campaigns
- News releases and features for Centralities
- Alumni and advancement events
- Old North Magazine assignments
- Commencement, Convocations, Homecoming, and similar campuswide events
- Campus stock photography
- Faculty and staff portraits
Level 2 Assignments are more limited in scope and include:
- Departmental lectures and speaker panels
- Orientations and retreats
- Conferences and banquets
- Academic event coverage
Photographic Services does not fulfill requests primarily intended for personal keepsakes, student organization events, or third-party events hosted on campus.
When we are unable to accommodate a request, we can recommend trusted freelance photographers with campus experience.
Deadlines
Requests should be submitted at least two weeks prior to the event date.
Final edited images are typically delivered within 1 week of the shoot.
Select high-priority projects may be eligible for expedited turnaround at the discretion of Photographic Services.
Access to Existing Photos
Photographic Services maintains an organized archive of past photo assignments, stored as proof sheets, which are accessible via a shared network drive. These images may be available for reuse, depending on their intended use and existing usage permissions.
To browse available images:
Windows (PC)
- Open File Explorer (Windows + E).
- Right-click This PC and select Map network drive…
- Choose any available drive letter (e.g., P:).
- In the Folder field, enter:
\\ucofs\Central\UComm\Ext-UComm\PhotoSvcs\Proofs
- Check Reconnect at sign-in if you'd like the drive to stay mapped.
- When prompted, enter your UCO credentials.
- Click Finish.
macOS
- In Finder, click Go in the top menu, then select Connect to Server… (Command + K).
- In the Server Address field, enter:
smb://ucofs/Central/UComm/Ext-UComm/PhotoSvcs/Proofs
- Click Connect, then log in using your UCO credentials.
Once connected, you can browse proof sheets organized by event name and date.
Make note of the specific photo you which to request. That will be entered in the request form. You will need:
- The name of the proof sheet (e.g., 01-10-24 snow on campus_lb)
- The file name of the image (e.g., 5AZ2342)
Once processed, you will receive a secure link to download the requested images.
Use of archived photos is subject to approval and must align with UCO’s brand and communication goals.
Deadlines
There are no fixed deadlines for existing photo requests, but please allow 3–5 business days for processing.

UCO Faculty and Staff
(Services are available for university-related events and projects that support UCO’s communication, marketing, or archival purposes.)
Service Fees of Additional Costs
There is no fee for approved photographic services.
If a request falls outside the scope of this service, a list of recommended freelance photographers is available upon request.
