Service Overview

Zoom is the web, audio and video conferencing system at UCO. It offers the ability to create online virtual meetings via the web using audio and video conferencing hosted service all supported via mobile devices, desktops, and room systems. Zoom also offers group messaging and screen sharing capabilities. Request your Zoom account and start saving money on travel costs and time spent booking meeting rooms. 

Due to the recent security issues that have come to light in regards to Zoom, OIT recommends that users conducting confidential or sensitive discussions, including PHI, PII, or HIPAA related information, use one of the other UCO supported services such as Webex Meetings or Microsoft Teams. Getting Started

UCO Zoom License Types

Basic: The basic license is included for all faculty & Staff.

  • Allows users to host an unlimited number of one on one meetings with no time limit.
  • The basic license can host up to 100 participants with 40-minute time limit on meetings.

Pro: You must have a Zoom Pro license to host virtual meetings, request a pro license.

  • It allows users to host an unlimited number of meetings.
  • Unlimited meeting length for up to 300 participants.

Additional Zoom Security/Safety Tips

  • Do not publicly share your Zoom Meeting ID or PASSWORDS.
    • Send it directly to your intended audience or have them register to obtain login meeting information. 
  • Do not record your Zoom meeting or save the chat conversations unless it is absolutely necessary and when it does not violate any regulatory obligations (HIPAA, FERPA, etc.). It is the easiest way to maintain privacy. 
  • If it is necessary to record your Zoom meeting, be thoughtful when naming the file. If you store the file in the cloud, be sure to name it something that does not indicate it is a Zoom video call. 
  • Only upload a saved Zoom video to services, such as OneDrive or D2L, where you have a private account enabled. 
  • Make sure screen sharing is set to host only to prevent Zoom-bombing or other participants from hijacking the meeting.

Call Answer Times

Technology Support uses a tiered call priority system.  Calls with higher priority are always handled before any other calls in the queue with lower priority.  If a call is placed via a UCO landline telephone, typical answer times should be within 2-3 minutes.  If placed from a cell phone or other non-UCO telephone, answer times will be longer, possibly 4+ minutes, depending on other call volume.
